Position Title: Administrative Assistant for St. Mary Our Lady of Ransom

Position Summary: The church Administrative Assistant provides administrative support to clergy and staff, ensuring the smooth operation of the church’s office and is often the first point of contact for visitors and members, handling inquiries and maintaining important records. The church Administrative Assistant is responsible for maintaining accurate financial records, ensuring the financial integrity of St. Mary Our Lady of Ransom Church. This role is crucial for the church to maintain accountability to effectively fulfill its mission

Classification: Non-Exempt (Full time) 35 hours/week Reports To: Father Anthony Swamy

Essential Job Functions:

· Responsible for the day-to-day administrative functions of the church, supporting the pastor and staff. This includes answering phones, managing calendars and scheduling appointments, filing, preparing documents, and assisting with various clerical tasks.

 

· Plays a key role in communication, maintaining accurate records, and ensuring the smooth operation of the church office

 

· Verifies, allocates, and submits bills and deposits to Parish Accounting System for payment. Reviews documents such as sales slips, invoices, receipts, deposit slips, checks, statements, and computer printouts for accuracy.

 

· Submits weekly transaction sheets to diocese. Responds to budget questions from Diocesan staff.

 

· Reviews weekly collection report and deposit slips. Corrects discrepancies with counter representative as soon as possible.

 

· Properly account for Parishioner contributions. Enter weekly contributions to ACS software system. Prepare annual contribution statements.

 

· Handles deposits as needed for walk-in donations.

· Assists the Finance Committee in the preparation of the parish budget as needed

 

· Prepares annual financial report to parishioners.

· Assists the pastor in ensuring that all office activities are in compliance with parish/diocesan polices and regulations

 

· Maintains accurate church records, including membership databases, attendance and leave records, and financial transactions.

 

· Manages office supplies and maintains organized workspace. Performs other duties assigned by the supervisor/pastor.
