Position Summary: Assist Manager of Communications in efficient flow and coordination of day-to-day operations for the department and split time covering the front desk of the Chancery to answer calls in English and Spanish. Because of sensitive communications, confidentiality and teamwork is essential.


Essential Job Functions:  

  • Answer and direct correspondence, incoming calls, email and general office mail for department and Chancery front desk
  • Schedule meetings
  • Process check requests, arrange for deposit of monies received and bills to be paid for Communications and South Carolina Catholic Conference
  • Maintain budget expenditure spreadsheet, list of department subscriptions
  • Maintain Flocknote subscriptions for The Miscellany magazine mailing and export data for printer
  • Contact and coordinate with advertisers and maintain advertising schedule for The Miscellany magazine


Additional Duties and Responsibilities:

  • Coordinate with vendors and maintain all office equipment and supplies
  • Maintain electronic and/or hard-copy filing systems as needed
  • Answer and appropriately handle or direct all telephone, email, written inquiries
  • Pick up, open, sort, direct incoming mail as appropriate
  • Perform all other duties that the department heads may see fit to manage both departments


Education Requirements/Position Qualifications: Position requires confidentiality, organization, prioritization, ability to work under pressure, accuracy, ability to make decisions and work without direct supervision. Staff member will have excellent communication skills and be able to use the Microsoft suite package (Word, Excel, Teams, etc.) and be trained on the Flocknote communication platform.
