Position Summary:  The Tribunal and Matrimonial Concerns Assistant is responsible for coordinating matrimonial dispensations and permissions in the Office Matrimonial Concerns. The Tribunal Assistant performs a variety of tasks including writing letters, scheduling interviews with parties, editing interviews, preparing documents, and supporting office functions for marriage nullity cases. The Tribunal and Matrimonial Concerns Assistant needs to be capable of being appointed as an Ecclesiastical Notary by the Bishop of the Diocese as stipulated by canon law so that he or she may sign and authenticate all documents as an Ecclesiastical Notary.

Essential Job Functions:

  • Analyze matrimonial petitions to determine outstanding information.
  • Prepares matrimonial documents for the granting of permissions and/or dispensations.
  • Collaborate with diocesan departments to enhance mission effectiveness.
  • Provide administrative support for canonical legal matters.
  • Assist with destination weddings in the Charleston parishes as needed.
  • Act as Ecclesiastical Notary for Tribunal cases, authenticating decrees, etc.
  • Advise petitioners, respondents, pastors, and case assistants concerning the instruction of their cases citing canon law and Church teaching in explanation.
  • Answer daily phone inquiries and be able to redirect the call if needed.
  • Schedule petitioners for initial deposition and maintain the interview schedule for the judges.
  • Log new cases in Excel and CaseMaster database.
  • Assist the Senior Case Analyst as needed.

Education Requirements/ Position Qualifications:

  • 5+ years of administrative support experience required.
  • Canonical knowledge regarding sacramental law is preferred, but not required.
  • Attention to detail and accuracy in handling dispensations, documents, and reports.
  • Must be proficient in computer knowledge/skills.
  • Working knowledge of computers, Microsoft 365, and general office equipment is required.
  • Excellent verbal and written communication skills.
  • Be able to type 45 words per minute with exceptional grammar and very few errors.
  • Strong attention to detail is required.
  • Previous experience with confidentiality, prioritization, working in a fast-paced environment, decision-making, and teamwork is required.
  • High school diploma required.
  • Bilingual in Spanish/English is preferred, but not required.
  • Experience in a related field is strongly preferred.
  • Must be a practicing Catholic in full communion with the Catholic Church.
