Bookkeeper

Job Description

Summary

Responsible for providing bookkeeping services to Parish, Child Development Center, and parish related organizations. Maintains financial bookkeeping system including general ledger, accounts payable, accounts receivable and payroll.

Reporting Relationships

Reports to the Pastor & Director of Finance & Assets

Employment Status

Non-Exempt, Full-time

Hourly Position, 40 Hours per Week

General Responsibilities

·         Attend monthly Staff Meetings, Annual Retreats, Service Projects

·         Attend Deanery, Diocesan meetings, Training and Retreats as requested.

Primary Responsibilities

•       Conducts and supports Parish and Child Development Center day-to-day accounting operations.

•       Utilize accounting software Automated Church System (ACS)

•       Implement Diocesan Software, Sylogist/Serenic.

•       Reviews and determines accuracy of invoices for payment.

•       Generate checks and deposit funds regularly.

•       Provide weekly collection to money counters for counting.

•       Produces monthly financial reports.

•       Provide monthly details of accounts payable and receivable.

•       Provide for Mass Stipend payments including bination.

•       Records electronic banking activity.

•       Support fundraising activities including but not limited to, Italian Festival and Golf Tournament.

•       Prepares weekly financial reports and collection reports for parish bulletin.

•       Generates annual 1099’s.

•       Maintains W-9 file.

•       Oversee the recording of weekly parishioner contributions in parish database software Servant Keeper.

•       Prepares annual parishioner contribution statements and other contribution letters.

•       Records and tracks pledges for the giving campaign, Rebuild to Serve.

•       Maintains Vanco electronic giving database.

•       Reconciles bank accounts monthly.

•       Maintains historical records.

•       Oversees and maintains payroll via ADP.

•       Implement Financial Assistance for Catholic Education, F.A.C.E.

•       Set up tuition billing for Child Development Center utilizing Vanco for automatic payments and provide annual tuition statements.

Additional Responsibilities

•       Provides support and assistance to others, including co-workers, volunteers, parishioners, and visitors to the Parish Office.

•       Responds to requests for information from the Diocese.

•       Attends training as required.

•       Performs tasks as assigned by the Pastor or Director of Finance & Assets

Qualifications

•       Bachelor’s or associate degree in accounting preferred.

•       Experience in accounting, working in accounts payable, accounts receivable, general ledger, payroll, and payroll reporting.

•       Experience working for a church or non-profit organization is a plus.

Key Competencies

•       Understands, accepts in writing, and adheres to the policies set forth in the St. Philip Neri Employee Manual, the Diocesan Employee Manual, the Diocesan Policy Regarding

Confidentiality and Abiding by Catholic Principles, and such other documents required by the Diocese of Charleston

•       Extensive experience with data entry, record keeping and computer operation.

•       Strong knowledge of generally accepted accounting principles

•       Proficiency in Excel and Word

•       Ability to adapt to a changing environment.

•       Positive interpersonal and communication skills for interacting with co-workers, volunteers, parishioners, and visitors to the Parish Office

•       Ability to work as a team with others, including but not limited to, all co-workers, volunteers, and parishioners.

•       Ability to maintain confidentiality.

•       Maintain professionalism.

•       Ability to meet deadlines.

•       Excellent verbal and written communication skills

•       Ability to schedule and coordinate multiple projects in a dynamic office setting.

•       Strong attention to detail

•       Competent with, or ability to learn Servant Keeper, ACS, and Vanco applications.

Physical Requirements

•       Ability to sit for long periods of time.
