Performs various routine-to-moderately complex bookkeeping, Human Resources, Payroll, Grants, and clerical work to ensure efficient and effective school fiscal operations Using QuickBooks, FACTS Management, and ADP. Uses Government website programs for financial auditing and reporting.

ESSENTIAL JOB FUNCTIONS

Accounting

Compiles data for and prepares the school’s annual budget.

Processes reimbursement requests.

Processes account payable requests

Processes deposits

Prepares records for internal and external audits.

Performs routine bookkeeping and reporting duties for assigned grants.

Performs computer data entry to record and retrieve information; generates spreadsheets and other computer reports as required.

Prepares financial documents for the school administrator.

Follows the Diocese policies and procedures regarding the maintenance of financial

Records; accounting and human resources

Oversees the school’s tuition management system, FACTS Management, including financial aid, registration, tuition payments, and weekly after-school charges.  Sets up student contracts for tuition payment.  Inputs fees and scholarship information.

Maintains the incidental student bills for after-school care or other fees.

Answers questions related to financial aid, tuition, and after-school care.

Transfers Endowment funds to the Diocese.

 

Payroll

Performs biweekly payroll for approximately 30 employees using ADP

Figure hourly employee hours.

Generate reports and General Journals in QuickBooks to record payroll expense

Prepare timecards biweekly

Maintains personal time off and vacation records

 

Human Resources

Assists in hiring new employees concerning the new hire package which consists of

Duties of setting up fingerprints, verification process, benefits information, and signing of paperwork as requested by the Diocese of Charleston.  Sets up information on pay and benefits in ADP

Distributes paperwork to new employees

Serves as a liaison between the employee and Charleston Diocese HR Department and Parish Accounting Services

Disseminates benefit enrollment information to school employees

Notifies employees of open enrollment

Prepares and distributes paperwork to the terminated employee regarding termination, benefits and benefits extensions

Keeps yearly application up to date for nonprofit status

Federal Nutrition Program

Performs financial reports required by the government

Performs yearly extensive audits with SC State which includes filling out 5 different reports or spreadsheets.

 

ABC Program

Uploads student weekly attendance hours into the ABC Voucher system; TORI

Uploads weekly afterschool ABC voucher information into the FACTS Management system

Performs Audit as requested

 

Grants

Applies for or assists with dioceses of Charleston grants and other grants.

Provides financial information for grants

Educational Requirements

A bachelor’s degree in accounting or business with at least three to five years of experience.
