Essential Job Functions:

  • Maintaining the donor database including entering donations and ensuring people receive thank you letters and charitable gift deduction letters.
  • Coordinating marketing and communications work with the diocesan Communications Department. Organize news, events, stories, and photographs from different Catholic Charities offices to be used in social media posts and other communications.
  • Put together monthly email newsletters with information on the work of Catholic Charities.
  • Work with the diocesan Communications Department to assist in the creation of informational and marketing materials.
  • Create the Catholic Charities annual report including collecting data from programs and field offices and the diocesan finance office.
  • Assist in completing necessary finance reporting and paperwork.
  • Coordinate and take minutes for quarterly Catholic Charities board meetings.
  • Coordinate quarterly Catholic Charities staff meetings.
  • Perform administrative tasks 2x a year to support medication mission trips and annual sponsorships of Catholic students in Guatemala.
  • Maintain the central Catholic Charities email address and phone line. Answer calls or emails as appropriate or forward messages to the appropriate parties.

Additional Duties and Responsibilities:

  • Periodically respond to requests from people seeking information about past adoption records.
  • Support the work of Catholic Charities programs and field offices.
  • Perform routine office tasks such as copying and scanning. Must be proficient in the Microsoft Office suite of products.
  • Take mail from the chancery office to the Charleston field office

Education Requirements/Position Qualifications:

  • Previous administrative, personal assistant, and/or executive assistant experience.
  • Experience working independently and taking initiate.
  • Able to manage multiple projects at one time.
  • Strong computer skills especially with Office365 products.
  • Must be organized and possess strong communication skills.
  • Practicing Catholic in good standing is preferred, but not required.
